How agt Mastered the Biggest Event in Its History

Early on in the project, it became clear that the geographic coordination of more than 150 departure locations spread across all of Germany would be one of the key challenges. We had to ensure that sufficient capacity was available in the bus fleet—not only in terms of static planning but also with enough flexibility to confidently implement last-minute adjustments. Experience has shown that last-minute changes on the part of clients are a common occurrence at large-scale events.

This is exactly what happened in this project: Shortly before the event began, the major client—one of Germany’s largest labor unions—reported changes in participant numbers as well as at the 700 departure locations. For us, this meant having to provide additional resources and capacity on short notice and make detailed adjustments to existing plans.

Successful passenger transportation at major events stands or falls on meticulous planning. Drawing on nearly 100 years of experience, we knew exactly that the key to a project’s success lies in the planning phase. That is why, well in advance of the actual event, we developed a detailed mobility plan tailored precisely to the requirements of this extraordinary large-scale event. As a first step, we developed a comprehensive plan, created a transparent cost breakdown, and organized the necessary capacity for approximately 100,000 participants.

Particularly noteworthy here is the close collaboration with the major client and its local offices. Regular updates and open communication strengthened mutual trust and ensured smooth cooperation.

The successful planning phase once again highlighted how important a precise yet flexible approach is for large-scale events—and that strong partnerships and transparent communication are crucial factors for success in any project of this magnitude.

To transport over 100,000 participants to five central venues—Frankfurt, Cologne, Stuttgart, Leipzig, and Hanover—on time and safely requires a transportation plan that is precisely tailored to each specific environment. This demanding task had to be carried out with dedication and focus. Only a custom-developed transportation plan guarantees maximum efficiency with minimal risk in such cases.

In practice, this meant, above all, that we had to thoroughly address the local conditions and requirements of the local authorities. Each location presented specific logistical challenges, such as varying parking situations, traffic routing, or traffic control regulations.

Another major challenge was ensuring that everything ran smoothly despite the enormous volume of traffic. Several hundred buses per location had to pick up, transport, and drop off participants at precise times—without disrupting the flow of traffic on site.

The biggest event in the company’s history also served as impressive proof of how important professional planning, reliable partners, and flexible execution are when providing passenger transportation for demanding large-scale events. Thanks to our customized mobility concept and intensive preparation phase, we were able to transport more than 100,000 participants to their event venues safely, on time, and in comfort.
