One of Germany's largest organizations was planning a nationwide day of action on a national scale. The success of this crucial event depended on the smooth and punctual mobilization of tens of thousands of members.
The logistical operation covered the whole of Germany and took place simultaneously in five strategically selected major cities. Each of these urban hubs required its own customized transport concept.
The basis for this was a meticulously managed planning phase lasting several months by a dedicated team of agt experts. We developed the detailed mobility concepts and also took on the strategic procurement of the entire vehicle fleet and the creation of deployment plans.
The implementation resulted in a seamless, nationwide transportation operation that exceeded all targets and ensured the complete success of the customer event.
One of Germany's largest and most influential organizations planned a nationwide day of action that was the culmination of a crucial campaign. The success of this strategically important event depended on a single factor: the smooth and punctual mobilization of tens of thousands of members from all over Germany. A logistical failure would not only have been a mishap - it would have undermined the impact and message of the entire day.
The task culminated in a challenge of unprecedented complexity: over 48,000 participants had to be transported simultaneously to five different major rallies in the city centers of Hanover, Cologne, Frankfurt, Leipzig and Stuttgart. Each of these urban hubs represented its own logistical bottleneck, with strict official requirements, limited access routes and minimal stopping zones. The schedule: All participants had to arrive on time before the start of the central rallies at 11:55 and leave the locations in an orderly fashion after 14:00.
The challenges
The sheer size and complexity of the project presented the union with a logistical challenge that far exceeded its own organizational capacities:
The task was to procure and manage 940 buses from around 250 different bus partners - a fleet comparable to that of a medium-sized municipal transport company, which had to be mobilized for a single day.
The journey from around 150 decentralized departure points had to be perfectly synchronized with the five destinations. A narrow time window for the rallies (11:55 - 14:00) required minute-by-minute planning in order to avoid traffic chaos and guarantee that everything ran smoothly.
For such a complex, supra-regional mobility project, the union needed a partner who could assume overall responsibility for the comprehensive management as the sole point of contact. A well thought-out concept was necessary to ensure high quality at all locations simultaneously.

This requirement came up against a highly fragmented and confusing transportation market. The coordination of hundreds of different bus partners - each with their own standards and processes - posed an incalculable risk in terms of quality, price and reliability. What was needed was not just a vehicle broker, but a central, strategic partner who could assume full operational responsibility, master the complexity and guarantee success.
agt's response to this challenge was the design and implementation of a seamless, centralized mobility concept. As a single point of contact, we assumed full end-to-end responsibility and completely relieved the customer of operational complexity. At the same time, a dedicated agt project team developed a separate, precise traffic concept for each of the five locations during the planning phase, which lasted several months. From the minute-by-minute route planning, which took into account inner-city bottlenecks, to the creation of detailed briefings for each individual driver, every detail was centrally controlled and synchronized. At each of the five destinations, our own coordination teams - consisting of main coordinators and dispatchers - actively managed the bus fleet.Our solution approach

Thanks to our Europe-wide network of over 1,500 verified partners, we were able to secure the 940 buses required discreetly and efficiently. This prevented the high demand from having a negative impact on market prices from the outset.
A dedicated agt project team of over 20 logistics and purchasing experts developed customized transport concepts for each of the five locations - from route planning to briefings for each individual driver.

A success for all sides
Months of planning culminated in a perfectly choreographed logistical operation on the day of the event. From the early hours of the morning, our coordination teams were on duty at all five locations to precisely control the fleet of buses as they rolled in. Supported by a central back office, which acted as "mission control", each individual bus was seamlessly monitored from arrival to the orderly dropping off of participants and positioning for later departure.
The result of this precise execution was more than just successful transportation - it was a seamless and stress-free experience for each of the 48,000+ participants, allowing the client to fully focus on the content of their event. The Germany-wide movement arrived at its destination on time, safely and in an orderly fashion, laying the foundation for the complete success of the day of action.
Perhaps the greatest recognition, however, came from an unexpected but highly authoritative source: the police command in Cologne officially praised the implementation as the "the most organized coordination of buses they have ever seen". This extraordinary success was also reflected in the direct recognition from the client, who invited the senior agt project manager on stage to publicly thank her and the entire team for the outstanding partnership. The project is therefore not only a testament to our operational efficiency, but also to our ability to build deep trust and turn even the most complex challenges into a masterful performance.
