The challenge of a major event

It became clear at an early stage of the project that the geographical coordination of over 150 departure points across Germany was one of the key challenges. We had to ensure that sufficient bus fleet capacity was available - not only statically, but also flexibly enough to implement last-minute adjustments with ease. After all, experience has shown that there are always last-minute changes on the part of customers at major events.

This is exactly what happened in this project: shortly before the start of the event, the major client - one of Germany's largest trade unions - announced changes to the number of participants and the 700 departure points. For us, this meant having to provide additional resources and capacities at short notice and adapt existing plans in detail.

Successful passenger transportation at major events stands and falls with meticulous planning. We knew from our almost 100 years of experience that the key to the success of a project lies in the planning phase. That is why we developed a detailed mobility concept long before the actual implementation, which was precisely tailored to the requirements of this extraordinary major event. In the first step, we developed a comprehensive concept, prepared a transparent cost breakdown and organized the necessary capacities for around 100,000 participants.

Efficient control despite many participants

The close cooperation with the key account and its local offices is also particularly noteworthy. Regular updates and open communication strengthened mutual trust and ensured smooth cooperation.

The successful planning phase once again highlighted the importance of a precise yet flexible approach to major events - and that strong partnerships and transparent communication are key success factors for any project of this magnitude.

In order to attract over 100,000 participants at five central venues - Frankfurt, Cologne, Stuttgart, Leipzig and Hanover - to reach their destinations safely and on time requires a transport concept that is precisely tailored to the respective environment. This challenging task had to be implemented in a dedicated and targeted manner. Only an individually developed transport concept can guarantee maximum efficiency with minimum risk in such cases.

In practice, this meant that we had to deal intensively with the local particularities and requirements of the local authorities. Each location presented specific logistical challenges, such as different parking situations, traffic routing and traffic regulations. 

Another major challenge was ensuring that everything ran smoothly despite the enormous volume of traffic. Several hundred buses per location had to pick up, drop off and pick up participants at precise times - without disrupting the flow of traffic on site.

agt solutions in detail

To accomplish this task, we developed customized solutions for each of the five locations. For example, we used parking lot shuttles, targeted road closures and special departure areas to manage traffic as efficiently as possible and avoid unnecessary waiting times.

In addition, agt attached great importance to optimizing the departure and return times. Based on experience and intensive analysis, we planned the bus trips down to the minute to ensure maximum reliability.

Experienced coordinators were also deployed on site, who were available as central contacts at all times. Our specially created focus team took care of compliance with the traffic concept directly at the locations and was able to react flexibly to unforeseen events. This showed once again how important professional coordination is when implementing a complex event logistics concept.

The combination of careful pre-planning, close coordination with the authorities and police and a strong presence of experienced staff enabled agt to get all participants to their destination on time and reliably - despite the enormous logistical complexity of an event with over 100,000 people.
